01 / THE BUSINESS

Meet the business.

The customers

The focus
A clearer handoff between the owner and the office

The cleaning team is on site. The office coordinator is preparing the next round of invoice follow-up. A customer has already spoken with the owner, but the coordinator needs to find out what was agreed before sending another message.

This example follows one cleaning company with an owner and a salaried office coordinator. QuickBooks Online holds its invoices and payments. The coordinator manages routine administration while the owner handles sensitive customer questions.

They share one Business workspace, with access matched to their roles. The offices they clean are customer records inside that company. Adding teammates does not turn the workspace into a bookkeeping practice or require a second Business subscription.

The handoff depends on whoever last had the conversation.

A customer may have asked about a missed visit or agreed a payment date by email. The invoice balance alone does not explain whether another reminder is appropriate.

The coordinator checks QuickBooks, looks through email, and asks the owner for an update. The same status then gets copied back into a separate list. When the owner is on site, routine follow-up waits for the missing context.

The example budgets ten coordinator hours a month for this administration before Clawrk and six afterward. Owner review, substantive service disputes, and accounting work are excluded from both figures; the model assumes those responsibilities continue.

02 / THE NEW ROUTINE

Give the next person a useful starting point.

  1. 01

    Connect the company once

The owner sets up a Business workspace and authorizes its QuickBooks Online connection before importing invoices separately. QuickBooks remains the source for connected invoice balances and payments. Accounting corrections happen there; Clawrk organizes the follow-up.

    Connect the accounting company
  2. 02

Agree who prepares, approves, and responds

The owner invites the coordinator with the access their work requires and agrees who handles each step. A shared workspace makes the context available to authorized teammates. Eligible reminders need approval, and balances are checked again before sending; delivery failures still need follow-up.

Invite the people who do the work
  3. 03

Record questions and commitments with the invoice

If a customer raises a service question, the team handles the reply and can pause follow-up while it is resolved. A payment promise is recorded as a commitment, separately from payment. The next teammate can review that history without rebuilding the conversation from scratch.

    Handle replies and exceptions
A MOMENT IN THE NEW ROUTINE

A service question reaches the right person.

Imagine an office manager questioning a charge after a missed cleaning visit. The coordinator records the context and pauses follow-up while the owner checks the job. If a correction is needed, it is made in QuickBooks. Once the records and customer conversation agree, the team can decide the next step together.

03 / THE TIME COMPARISON

Where the 4 hours could come from.

The same business. The same monthly work. Here is the assumed time for each part of the routine.

These are coordinator administration budgets for the same company and monthly workload. Owner approval, resolving substantive service disputes, and bookkeeping are excluded on both sides, with no reduction assumed. They must still be budgeted separately.

04 / THE COSTS AND VALUE

More room in the office day, on the same payroll.

The example values four recovered coordinator hours at $30 per hour, or $120 a month before the Clawrk subscription. Those hours can go toward scheduling, customer service, or other office work.

Net time value per monthValue of recovered capacity after the subscription
$81

The coordinator is salaried, so payroll does not fall when these tasks take less time. This is capacity value after the subscription, not a cash saving. Owner time is unchanged, and no faster payment, new revenue, or reduction in unpaid balances is assumed.

Account for the first month, too.

Allow four coordinator hours for learning, checking records, reviewing templates, and testing a handoff. At $30 per hour, that is $120 of setup time value, not a separate Clawrk fee. The owner also needs connection, training, and review time outside this coordinator-only estimate.

One-time setup time value
$120
First month, after setup and subscription
-$39
First year, after setup and 12 subscriptions
$852

The first-year estimate assumes the same monthly reduction for all 12 months. A slower start would reduce it. All amounts are USD, before tax. Existing accounting and email costs are excluded. No trial credit or annual discount is assumed. See current plans.

What if the time saving is only half as much?

At 2 hr freed per month and the same hourly rate, the example leaves $21 per month after the subscription, before setup.

The recurring plan cost is covered at about 1 hr 18 min of time value a month. Below that, the estimated benefit would not cover the plan.

05 / PUTTING IT INTO PRACTICE

Start small. Check the difference.

  1. 01

Agree the handoff with the owner

Choose who prepares reminders, who has permission to approve them, and who handles service questions. Invite the coordinator with the appropriate role and check what they can access.

  2. 02

Try the routine with a small group of customers

Review the QuickBooks records and customer addresses, then check the first drafts together. Practice a real handoff with a reply or promised payment date before expanding the routine.

  3. 03

Check time and unfinished work together

Track the same coordinator tasks for a complete month. Review unresolved replies and delivery issues alongside the hours recorded. A shorter time total is useful only if the follow-up is still being completed.

A routine that the owner and office can continue together.

The first aim is a handoff that works when the owner is busy on site. Keep QuickBooks as the accounting source, make exceptions visible, and measure the full administrative routine. More available staff time is useful even when the payroll stays the same.
