FOR BOTH WORKSPACES

Import invoices from a spreadsheet

Upload Excel or CSV, match its columns, and review invoices before importing.

01

Choose the invoice source first

Spreadsheet imports are for a manual ledger. If these invoices belong to a connected QuickBooks company, bring them in through sync instead.

In a business workspace, open Invoices. In a practice, open Receivables and select the correct client company.

02

Prepare the spreadsheet

  1. Choose Import invoices and upload or drop an Excel (.xlsx), CSV, or TSV file. Each file supports up to 5 MB and 1,000 invoices per worksheet.
  2. Keep your column names. Choose the worksheet and header row if needed, then check the suggested matches. Each Clawrk field has a dropdown for the matching file column.
  3. Review any blank cells. Enable a default only when it is correct for those rows. Existing values are preserved; customer names and email addresses are never invented.
  4. Choose the date and number formats used in your file. Currency symbols and thousands separators are accepted when they match the selected format and client currency.
03

Review before importing

Approve the column matches to see a preview. Check the company, customers, dates, totals, outstanding balances, and applied defaults before confirming. Every invoice is validated, even when only the first 20 are shown. Importing does not send reminders.

04

If the file has errors

The import identifies affected fields and file rows. Adjust the mapping, default values, or date and number formats. If the source data needs a correction, update the file and choose it again. Duplicate invoice numbers stop the entire import; existing invoices remain unchanged.
