Prepare the work
Owners and administrators manage firm invoices in Our firm → Billing. This is billing for your own services, separate from the receivables you manage for clients.
Record billable hours for a client and approve the timesheet. Set the bill rate before recording work; entries retain the rate saved with them. Missing rates need attention before billing.
Create and finalize a draft
- Open Unbilled work and filter or search for the client. Saved billable time can be invoiced immediately unless Require timesheet approval is enabled in Settings. When enabled, pending time is visible but must be approved before invoicing.
- Create an invoice draft and review the included work, recipient details, amounts, and dates. Time already in a draft appears under Drafts instead of being billed twice.
- Finalize when the details are correct. This creates the invoice PDF. Finalize alone does not email the client; automatic QuickBooks sync is queued if you enabled it.
Send the invoice
Open the finalized invoice and choose Send invoice. Review the recipient, subject, message, and formatted preview. The email uses your firm branding and includes the finalized PDF.
Sent means the email provider accepted the message. Delivered requires delivery confirmation. Check the separate email status for failures or bounces; finalizing an invoice is not proof it was sent.
Sync to your firm books
Connect your own firm accounting under Our firm → Billing and match each client to a customer in those books. Client accounting connections are separate.
Choose manual sync or enable automatic sync when finalizing. Match the QuickBooks customer, service item, and applicable tax setting first. A queued status means work is waiting or running; check the result before treating it as synced. Clawrk sends the invoice email separately, so QuickBooks does not send a second email through this workflow.
Keep billing and payroll separate
Firm invoices charge your clients for services. Worker cost rates, weekly targets, and approved time do not calculate payroll, overtime, taxes, or employee payments.
