FOR BOTH WORKSPACES

Understand reminder delivery and holds

Tell the difference between approval, submission, delivery, and a message needing review.

01

Approval and submission

A draft awaits review. Approval authorizes that message, subject to the final invoice checks. A queued message is waiting to be processed. Submitted means the email provider accepted the send request; it does not prove the email reached the recipient.

02

Delivery outcomes

Delivered is a provider-confirmed delivery event. A bounce or failure needs review; check the recipient and the stated reason before taking another action.

A local outbox is a development-only capture and is not a delivered email. An uncertain submission needs provider review before a retry, because the original may already have been accepted.

03

Why reminders are held

A changed balance or recipient, a reply, a dispute, a pause, an active payment promise, or an unavailable QuickBooks check can block submission. An exhausted reminder allowance can also stop further outgoing reminders.

Read the invoice and message status together. A held draft is not automatically sent when you resolve a conversation.

04

Recover safely

Correct accounting records at their source, handle the customer's reply, and check the next available action. Prepare and approve a new message when a fresh review is required. Use support for unclear delivery outcomes.
