Open the invoice preview
- Open Invoices in a business workspace, or Receivables in a practice.
- Select an invoice, then choose Preview invoice or the Invoice preview tab in its drawer.
- The preview opens as a web page, using the same page layout as the download. Choose View full size to read it more closely, or Download PDF to prepare and save that invoice. Importing a spreadsheet does not generate a batch of PDFs.
Understand the document
For a connected QuickBooks invoice, the preview and Download PDF show the same details from the latest sync: company and billing addresses, billing email, phone, tax registration, payment terms, line items, quantities, rates, discounts and tax breakdowns when QuickBooks provides them. Shipping details and customer-facing notes appear when recorded on the invoice. If you still see a short summary, sync the business from its Accounting tab.
Choose Original QuickBooks PDF for the document as issued by QuickBooks, including its original branding. Clawrk uses the amounts recorded in QuickBooks and does not issue a new invoice or change your accounting records. Correct source details in QuickBooks, then sync again.
For an imported or manually entered invoice, the preview and downloaded PDF share a clean invoice summary with the business, customer, invoice number, dates, currency, original total, and recorded balance. Itemized charges and tax details are not reconstructed. Internal notes and supporting uploads are not included.
Add your company logo
An owner or admin can choose Customize company logo below the invoice preview, or open Business details in My business (Company details in a practice). Upload a PNG, JPG, or WebP logo up to 5 MB. Use a dark logo, ideally with a transparent background. Logos appear on a light background. It saves automatically.
Each business has its own logo, separate from the workspace logo. It appears on follow-up emails, invoice previews, private customer pages, and PDFs created by Clawrk. Email headers use the workspace logo as a clearly named backup, then the business initials if neither logo exists. The separate Original QuickBooks PDF keeps its original branding. Changing a logo affects future emails, previews, and downloads; earlier emails and downloaded copies stay unchanged.
Stop access or replace a link
Choose Revoke existing links in the invoice preview to stop access through all links for that invoice, including links in earlier emails. Previously downloaded copies cannot be recalled.
Expired or revoked links display an unavailable message. Corrections to invoice details or a changed recipient also make the old link unavailable. Create a new link after checking the updated preview. If an unsent draft has an unavailable link, reject it and prepare a fresh message.
Recording a payment does not invalidate the invoice copy. Clawrk summaries show the original invoice total and the recorded balance as of the date shown. The separate Original QuickBooks PDF retains the source document.
Your workspace opens in a new tab.
