From a QuickBooks aging report to a reliable follow-up list

Use QuickBooks Online aging reports as the starting point for invoice follow-up. Check dates, credits, contacts, and existing reminders before sending.

The useful part, up front.

  • Use the summary to orient yourself and the detail report to inspect the underlying transactions.
  • Resolve accounting differences in QuickBooks before contacting the customer.
  • Choose which tool owns reminders so a connected workflow does not create duplicate outreach.

A QuickBooks aging report is a starting point for receivables work, not a finished communication plan. The report can identify overdue amounts. Your team still needs to decide which balances are ready for a reminder and which need accounting or client attention first.

The process below is an operational review for QuickBooks Online. Navigation and report options can change by product version and region; the linked Intuit pages are the reference for current product steps.

Start with the right company and report

In QuickBooks Online, open Reports and look for the accounts receivable aging summary or detail report. The summary helps you see the customer-level picture; the detail helps you inspect the transactions behind it. Use Intuit's current aging report instructions to find and configure the view in your account.

Before interpreting it, write down the company, report date, currency, and relevant filters. These are easy details to skip when switching between several client companies, but they define what the numbers mean.

If you export a working copy, put the company and review date in its filename. A file named "AR latest" is not a reliable handoff when two people download it at different times. Keep the original report settings with the review notes.

Inspect the transaction before the message

For each candidate invoice, check the open amount and the accounting changes that might affect it. Then read the customer conversation. A recent payment reference, a disputed charge, or a promised date may change the action.

Here is a fictional review example:

What the working list saysWhat the reviewer findsNext action
$750 overdueA payment was recorded after the exportRefresh the working balance
$420 overdueThe customer has a relevant unapplied creditAsk the authorized person to review allocation
$980 overdueThe customer reported an incorrect line itemPause routine follow-up and resolve the question
$310 overdueBalance and contact are checked; no open exceptionPrepare a reminder for review

The table is an example of review decisions, not instructions to edit those accounting entries automatically. A connection to another tool should not silently make commercial or accounting decisions for the client.

Investigate credits instead of hiding them

A customer can have offsetting transactions that need proper accounting review. Intuit documents a specific process for applying a credit to an invoice when clearing customers with zero net balances in an aging report. See its zero-net-balance guidance.

The practical lesson is to inspect the source record before chasing a displayed invoice. Do not mark it paid in a separate tracker just to make the list look cleaner. Ask the authorized accountant or client contact to confirm the right treatment in QuickBooks, then refresh the operational view.

Keep a brief explanation of the resolution. "Credit applied after client review" conveys something different from "Customer paid." That distinction is useful when you later explain how open receivables changed.

Decide who owns reminder sending

QuickBooks Online has its own manual and automatic reminder settings. Before introducing another communication tool, review what is already enabled. Intuit describes the controls in its invoice reminder documentation.

Choose a clear owner for routine reminders. If QuickBooks is sending them, a second workflow should not unknowingly send a parallel sequence. If your team moves reminder work into another system, agree how the existing settings and staff process will change.

Document exceptions too. For example, a client might want a named person to handle large disputed invoices while a standard review queue covers ordinary reminders. An explicit exception is easier to maintain than a vague rule to "be careful with important customers."

Connect the record without changing its authority

In Clawrk's QuickBooks integration, you connect the company from its client panel. Start with an empty client rather than putting QuickBooks on top of a manual ledger. Review the imported information and synchronization status before preparing outreach.

QuickBooks remains authoritative for connected invoices and recorded payments. Clawrk adds reminders, replies, promises, and review context. Before an approved reminder is sent, Clawrk checks the current accounting balance; an unavailable check is not treated as permission to proceed.

If a connection needs attention, resolve that first. An apparently old invoice and a healthy synchronization status are different facts. Your team should be able to see both.

Leave a list the next reviewer can use

Finish the review with four fields for each unresolved item: the checked balance, the relevant exception, the next action, and its owner. Include a review date for promises and questions waiting on the client.

That record should make tomorrow's work easier without requiring someone to repeat today's investigation. Pair it with a weekly receivables routine, and the report becomes part of a dependable process instead of another spreadsheet that gradually loses context.
