02 / A PLACE FOR EACH PART

The books stay in QuickBooks.
The next steps live here.

Clawrk reads your accounting records for follow-up. Your team continues to make invoice and payment corrections in QuickBooks.

Read from QuickBooks Online

Invoices & balances
Invoice numbers, dates, amounts due, and currencies.
Customers & recipients
Customer details and available invoice email addresses.
Recorded payments
Payment records and their links to imported invoices.

Manage in Clawrk

Follow-up & approval
Prepare reminders and review the recipient and wording.
Conversations & promises
Keep replies, notes, disputes, and payment commitments together.
Team coordination
Review company status and activity in your workspace.

A Business workspace connects its own QuickBooks company. In a practice, connect each client company separately so its records stay in the right ledger.

03 / PERMISSION, THEN ACTION

Your connection.
Your control.

Clear boundaries from the first sign-in to every approved reminder.

Explore security & data controls

Sign in directly with Intuit

Your QuickBooks password stays with Intuit. Clawrk stores encrypted access tokens on the server.

Keep access within your workspace

Owners and administrators manage connections. Workspace membership and roles govern access to records and actions.

Approve before a reminder is sent

Connection does not start outreach. Your team approves messages, and Clawrk checks the balance and recipient before sending.

WHEN SOMETHING NEEDS ATTENTION

A pause.
And a clear next step.

The company Accounting tab shows connection status, the last sync, and issues to resolve.

A sync needs attention

Review the error and retry. An unavailable pre-send balance check holds the affected reminder.

Authorization has expired

Reconnect the same QuickBooks company, let the sync complete, and review the current records.

You choose to disconnect

The connection is revoked and company follow-up pauses. Imported records and conversation history remain.

GOOD QUESTIONS

Talk to us
What do I need before connecting?

You need owner or admin access in Clawrk and an Intuit account authorized to connect the QuickBooks Online company. For a Business workspace, open My business > Accounting. In a practice, open the matching company in Clients > Accounting. The company must have no manual or CSV-imported invoices.

What if the Intuit window does not open?

Allow popups for Clawrk and try again, or choose Continue in this tab. After authorization, Clawrk brings you back to the connection flow. You can cancel and start again if you selected the wrong company.

Will Clawrk change my QuickBooks invoices or record payments there?

For connected client receivables, make invoice and payment corrections in QuickBooks, then sync them into Clawrk. Separately, bookkeeping practices can create invoices for their own services in Our firm → Billing and sync them to their firm QuickBooks books after matching the client to a customer. Finalizing alone does not send an email; it queues QuickBooks sync if automatic sync is enabled. Clawrk does not transfer money or write manual-ledger payments to QuickBooks.

Why does Intuit ask for accounting access?

Clawrk uses Intuit's accounting permission to retrieve company records. That permission is broader than a read-only grant; Clawrk uses it to read connected accounting records and, for firm billing, sync finalized invoices to your firm books. Your Intuit password stays with Intuit, and access tokens are encrypted on Clawrk's server.

When do changes in QuickBooks appear?

Authorization queues the initial synchronization. Subsequent syncs bring accounting updates into Clawrk, and the company Accounting tab shows the last sync and any issue needing attention. You can request a sync there. Before sending an approved reminder, Clawrk checks the connected invoice again; an unavailable check holds the message.

What happens when I disconnect?

Disconnect from the company Accounting tab to revoke the connection and pause its follow-up. Imported records and conversation history remain in Clawrk. Reconnect the same QuickBooks company to restore the connection, then review the company before resuming outreach. Disconnecting is separate from deleting workspace data.

Does connecting enable emails, charges, or AI automatically?

Connecting queues a data sync, not a customer email. Reminders require team approval and pre-send checks. The integration does not use the QuickBooks Payments API to charge customers. Optional reply assistance is a separate feature that must be configured and enabled.

Can I use QuickBooks Desktop or a manual ledger?

This connection supports QuickBooks Online accounting data, not QuickBooks Desktop. You can use a manual ledger in Clawrk and import a CSV. Clawrk prevents connecting QuickBooks over existing manual invoices so the two sources do not silently replace each other.
