Check the invoice first
Open an overdue invoice. Review the outstanding amount, customer email, recent replies, payment promises, and any pause or dispute. Resolve incorrect accounting records before preparing the message.
Review the draft
- Choose Prepare follow-up on the invoice.
- Open the draft in Inbox and check the recipient, subject, wording, balance, and customer preview.
- Edit the wording if needed. Approve only when the message is ready to go out.
What happens after approval
Clawrk rechecks the invoice before submission. Changes to the balance, recipient, approval, dispute, or promise can hold the message. Connected invoices also require a fresh QuickBooks check.
Approval is not delivery. Follow the delivery status to see whether the message was submitted, delivered, bounced, or failed.
If the message is held
Read the reason, resolve the underlying issue, and review the next available action. If a reply paused follow-up, handle the conversation and prepare a fresh reminder when appropriate. Do not resend blindly after an uncertain submission.
