Where to start
Practice owners and administrators open Our firm to set up their own employees and contractors. This space always manages your firm's team, including their client and internal work. It does not use a client slot or appear in the client portfolio.
Business owners open Team timesheets from the sidebar or My business. This uses the company already created at signup.
Practice owners, administrators, and assigned reviewers use Our firm for firm team hours and reports. My time is your personal recording space; activate time recording for yourself in Settings → Team if you also record your own hours.
Client work is recorded on your firm's timesheets by selecting the client on each entry. Client workforce timesheets are not part of this workflow.
Manage your firm name, logo, invoice billing details, and time preferences in Settings → Practice. Manage your people and their access in Settings → Team.
Set up the people
- Review time preferences in Settings → Practice. The time-recording time zone and week start are locked after the first timesheet or timer is created.
- Open Settings → Team and choose Add person. Choose an existing person to reuse their details, or add an employee or contractor. A weekly target helps review; it does not calculate overtime or pay.
- Choose whether to invite the person to sign in or have an administrator record their hours. Enable Time recording when they need timesheets. Existing logins keep their roles, and existing time records keep their history and rates. You can record time on behalf of someone without a login.
- Review the person and access before saving. For a new login, a private invitation lasts seven days. Email the invitation is optional; leave it unchecked to copy and share the link yourself.
- The person accepts with a new account or their existing Clawrk password. Choose Timesheets only for assigned time without financial records. Admin, Member, and Viewer roles apply across the workspace. Existing wider workspace access is preserved.
Reviewers and private rates
Owners and administrators manage all people, and time records. An assigned company reviewer can inspect colleagues' time and approve or return sheets, but cannot view rates or manage people.
In Settings → Team, open a person and enable Can review this team's timesheets for an active person linked to a login. In a bookkeeping practice, they will see Our firm in the sidebar. Viewers remain read-only even with a reviewer assignment.
Employee and contractor describe the kind of worker. They do not grant recording, review, or management permissions.
Hourly cost and bill rate are optional and visible only to owners and administrators. New entries capture the current rates. Editing a person's rates does not change rates on previously recorded work.
Manage access offers three choices: deactivate time recording, remove workspace access, or both. Saved timesheets, approvals, and rates remain. Stop running timers first, or explicitly confirm discarding their unsaved time. Pending invitations can be revoked from Team settings.
Connect time to client work
When adding time or starting a timer, select a client or Internal work and describe the work performed. All hours stay on your firm timesheet.
For example, three hours for Client A, two hours for Client B, and one hour of internal administration form one six-hour firm timesheet. Client billing and worker compensation are separate.
Our firm → Billing collects unbilled client work, invoice drafts, and issued invoices. Create drafts from saved billable time, then review and finalize them. If timesheet approval is enabled, time must be approved first. Payroll execution and payroll tax calculations are not included.
Your workspace opens in a new tab.
